What is a hotel PMS?

A hotel property management system (PMS) is the software a property runs its daily operations on. It holds the reservation, the room, the guest folio and the night audit in one place, so the front desk, housekeeping and the owner are all reading the same record rather than three versions of it.

What a hotel PMS actually does

Most definitions list features. It is more useful to think about what a PMS is responsible for: it is the system of record for a stay. Every other tool a hotel runs — the booking engine, the channel manager, the POS, the payment gateway — either writes into that record or reads from it.

That responsibility breaks down into a handful of jobs:

  • Reservations: holding availability, rates and the booking itself, from any channel.
  • Front desk: check-in, room assignment, in-stay changes, check-out.
  • Folio and billing: charges, taxes, payments and refunds resolving to one balance.
  • Housekeeping: room status moving between clean, dirty, inspected and out of order.
  • Night audit: closing the day, rolling the business date and locking revenue for reporting.
  • Reporting: occupancy, ADR, RevPAR and revenue that owners can act on.

Why the "one record" part matters more than the feature list

The failure mode in most hotels is not a missing feature. It is the same stay existing in several places at once — a booking in the channel manager, a folio in a billing tool, a room status on a paper sheet, a restaurant bill in a separate POS. Staff spend their shift re-keying between them, and the numbers stop agreeing.

When that happens, the symptoms are familiar: two guests assigned the same room, a folio balance nobody can explain, a restaurant charge discovered after the guest has left, and a monthly report the owner does not believe.

PMS, channel manager and booking engine are not the same thing

These three get used interchangeably and they should not be. The distinction matters when you are comparing vendors, because some sell one and imply all three.

  • The PMS runs the property internally: rooms, stays, folios, staff workflows.
  • The channel manager pushes availability and rates out to OTAs and pulls bookings back in.
  • The booking engine takes reservations on your own website, without OTA commission.

How to evaluate a hotel PMS

Feature checklists tend to look identical across vendors. These questions separate them:

  • Can two staff members acting at the same time create a conflicting room assignment?
  • When a payment webhook is delivered twice, do you get two charges?
  • Can an issued invoice be silently edited, or does a correction leave an audit trail?
  • Does the night audit run against the property business date, or the server clock?
  • What happens to your direct bookings if the channel manager connection drops?
  • Is pricing per room, per property, or per booking — and what does it cost at your size?
